How Dual eSign Works

Overview

The InfraWare 360 Platform allows two levels of eSign for teaching hospitals and other scenarios where more than one user needs to approve a document.  
 
You will need the following before you begin:
  • An Administrator login ID and password for the IMC. 

Tasks:

To establish a eSign Requirement for future jobs

  • Log in to the IMC at www.InfraWare.com/IMC
  • Select Workflow Tab , eSign-off Management Sub-tab.
  • Choose the criteria that should trigger a job to require eSign
    • Document Type
    • Document Category
    • Author
    • Author Pool
  • Click Manage.
  • Under New eSign-off Requirement, choose what the eSign-off requirement is for
  • Click Add

  • Choose the first eSign-off requirement.
  • Put a checkmark in the Add a second eSign-off level
  • Choose who will eSign on the second level.  If the second level user varies and the transcriptionist will know from the dictations, choose Define in ITC
    • Choose Define in the ITC: drop-down: 
      • Required: The job cannot be marked complete unless a 2nd level eSign is chosen
      • Optional: The MT has the option to assign the 2nd level eSign, it is not required 
  • Click Save
Transcriptionist Experience in the ITC (when 2nd level eSign-off is assigned in ITC):
 
You will need the following before you begin:
  • A login ID and password for the ITC 
  • Open the ADT Screen for a job:

  • Under Attending Physician, add 2nd Level eSign-Off Requirement.
    • Note:  You will only see this 2nd eSign-Off field in the ADT screen if Dual eSign has been set up for the Author of the job.
  • Choose the author from the drop-down menu
    or
    When the cursor is placed in the Attending Physician field with a name populated in that field, press Ctrl + Shift + D to paste to the 2nd Level eSign Author's name.
  • Click Enter or Accept when ADT entry is complete

When the job is complete, the job will route to the 1st Level eSign who is the original author and then route to the 2nd level eSign-off author before the job is complete. Please note that the 2nd Level eSign Author can eSign the job BEFORE the 1st Level Author and complete the job.  The only exception to this rule is when Require 1st Level eSign off before 2nd level is selected under Facility Settings.  See KB390 for additional details for Requiring 1st Level eSign before 2nd Level.

Notes

  • Please note that if two signatures are required to populate into the document, then you should add a Signature field for each eSign-off in the document template. 
  • The 2nd eSign-Off field is only shown in the ADT screen if Dual eSign has been set up for the Author of the job.
