Managing Template Overrides

Summary

Document Types (also called work types) provide a structure to define workflow settings, speech recognition parameters and templates.  Templates are created by administrators to support document formatting (headers/footers, margins, letterhead, page numbering, etc.) and the insertion and automatic population of data fields, including those from the ADT (patient demographics) screen, job ID, MT initials, page numbering and user-defined fields.  Once a template is saved to the platform from the ITE (See KB227 for details) it can then be associated with a Document Type on the platform.

Occasionally there are workflow or template requirements which designate that a specific Author needs to use a unique template in order to accommodate special workflow requirements that differ from other Authors using that same Document Type.  One example of this would be an Author who requires a second level of eSign, whereas the other Authors using the same Document Type do not require this to be on the template.  In situations like this a Template Override can be put in place by an Administrator which will tell the platform to use a designated template when a job is received for a specific Author/Document Type combination.  This article explains the setup and management of this feature.  

Requirements

• InfraWare Management Console (IMC) user with Administrative access.
• Template saved to the platform using the ITE.

Steps

• Create a new Template Override:
  • You can choose to create a new override template using the ITE and save it to the platform, or use an existing template.
  • Log in to the IMC with your Admin username and password.
  • Navigate to the Document Config tab ⇒ Document Types subtab.
    
  • Click on the name of Document Type to be managed.
  • Click the »Manage Template Overrides link.  The Manage Template Overrides popup window will load.
    
  • Select the Author from the drop-down menu.
  • Select the Template which should be used for the selected Author for this Document Type.
  • Click Save.
    
  • The name of the Author and Template will now appear in the listing.
    
  • Repeat as necessary to add more template overrides for this Document Type.
  • Close the window by clicking in the  X  in the upper right corner.
    
• Delete a Template Override:
  • Log in to the IMC with your Admin username and password.
  • Navigate to the Document Config tab ⇒ Document Types subtab.
    
  • Click on the name of Document Type to be managed.
  • Click the »Manage Template Overrides link.  The Manage Template Overrides popup window will load.
    
  • Check the box next to the name of the Author and Template in the listing and click the Delete button.
    
  • A popup window will appear. 
    • Choose OK to continue with the operation and be taken back to the Manage Template Overrides window. The Author name and template will no longer be included in the list of overrides.
      
    • Click Cancel to cancel the operation and be taken back to the Manage Template Overrides window. The Author name and template will still be included in the list of overrides.
  • Repeat as necessary. 
  • Close the window by clicking in the  X  in the upper right corner.
    

Notes:

• Templates are applied to a job when they enter the InfraWare 360 platform.
• Template Overrides will be applied to new jobs which enter the platform AFTER the change has been saved. 
• Any jobs already on the platform when the Template Override is set up will still have the original template applied.
• Keep in mind that having multiple template overrides in place will mean that if an update to the signature line, header, footer, etc. is needed all templates would need to be updated.
